This guide explains how to configure booking types, covering settings like active status, name, color, party size, duration, buffer times, online amendments, availability, charges, customer info, allergen and dietary options, service hours, and daily cover limits to optimize booking management and guest experience.
1. Open a Booking Type to Configure
From the Booking Types page, click the pencil icon next to the booking type you'd like to configure. This will open the full settings panel for that booking type.
2. Booking Type: Basic Details
- Active Status: Turn on and off depending on whether this booking type is available.
- Booking Type Name: Enter the name of your booking type (e.g. Drinks)
- Type Colour: Select a colour to help distinguish this booking type in your planner
- Party Size Range: Determine the minimum and maximum party size that can book for this booking type.
- Description: Create a summary for the booking type.
3. Guest Rules & Display
- Default Booking Duration: Set how long each booking lasts.
- Last booking time before service end: Set how long guests can book before the end of hours (e.g. service ends at 10 pm, so last booking time will be 8 pm if set to 2 hours).
- Table Buffer time: Add a gap between bookings to prevent back-to-back bookings. (e.g. 15 minutes between each booking)
- Custom Party Size Durations: For larger parties, set custom duration times that override the default duration.
- Allow Online Amendments: Toggle whether you would allow guests to amend their booking ahead of time. (You can also set a deadline for how long before the booking customers can amend).
- Same Day Bookings: Toggle if you will allow guests to make a booking on the same day.
- Affects Daily Covers: Toggle whether you will allow the booking to contribute towards your daily cover limit.
4. Availability & Charges
- Custom Table Selection: Set specific tables that are available for this booking type. (Note: If left blank, all tables will be available)
- Charges & Policies: Set if you want to enable cancellation or deposit requirements. (Note: A Stripe account is required to enable these)
5. Additional Settings
- Customer Information: Set a message to customers making the booking that may be required. (e.g. promotions, specials, general information and available items)
- Pet-Friendly Bookings: Set if you allow dogs and how many per booking.
- Collect Room Number: Used for Hotels. Ask for the guest's room number.
- Header Image & Gallery Image: Add images related to the booking type.
6. Customer Collection
- Allergen Information: Toggle to enable the option for guests to enter their allergen information ahead of time (Note: You will need to add all relevant allergens under Allergen Options)
- Dietary Requirements: Toggle to enable the option for guests to enter their dietary requirements ahead of time
- Special Occasions: Toggle to allow customers to mark if they are visiting for a special occasion (e.g. Birthday, Anniversary, etc)
- Booking Upgrades: If you have upgrades available, set these so that customers can choose while booking
7. Service Hours
Service Hours control when this booking type is available and also determine the visible timeframe in your Day Planner.
It’s important to note that Service Hours work in combination with your Default Duration. If your booking type has a 2-hour default duration, you’ll need to extend your service hours to allow that full booking window to be available.
For example:
If you want the last customer booking to be at 8 pm, and the default duration is 2 hours, your service hours should be set until 10 pm.
Why? Because a guest booking at 8 pm needs that full 2-hour slot to be available for the system to show it as an option.
Setting your service hours too tightly will prevent guests from seeing later time slots and may confuse them if they can't book when expected.
9. Daily Cover Limits
Set your maximum daily covers for set days/times to control the pressure on the kitchen.
For example, on a weekday, you may not have as much staff in the kitchen, so your maximum covers may be a bit less compared to a weekend.
