In this article, you’ll learn how to use the Day Planner to manage bookings in real time during live service from seating guests to tracking table turnover and identifying available spaces quickly.
Why Use the Day Planner During Service
The Day Planner gives your team a live view of who’s arriving, who’s seated, and which tables are due to turn next.
It helps you manage guest flow, respond faster, and stay coordinated throughout service.
You can use it to:
Monitor arrivals and walk-ins
Update booking statuses
Check remaining capacity
View guest notes and special requests
Keep the entire team aligned in real time
Step 1: Open the Day Planner
Go to Bookings → Day Planner.
Use the date selector to view today’s bookings.
You’ll see bookings displayed in a timeline by time slot and area.
Each booking block shows the guest’s name, party size, duration, and key symbols like birthdays or allergies.
Step 2: Manage Bookings in Real Time
Click on any booking block to open its details. From here, you can:
Update booking status: Active → Seated → Check Dropped → Paid → Completed.
Edit or move bookings: Adjust start time, duration, or area if needed.
View guest notes: Check for special requests, allergies, or marketing tags.
This keeps your team informed and ensures service runs smoothly.
Step 3: Monitor Table Flow
Use the booking timeline to:
Spot gaps between bookings for quick turnarounds
Identify free tables instantly
Prevent double-bookings or missed guests
See which bookings are close to finishing based on duration and colour shading
Step 4: Use Symbols for Quick Insights
Symbols help your team identify key information without opening each booking:
Clipboard – internal note
Red A – allergy
Cake – birthday
Envelope – email response
Star – booked via marketing campaign
You can view all symbols and their meanings in the Understanding Booking Symbols article.
Tip
Use the Day Planner on a tablet or touchscreen device during service for easy updates while on the move.
It’s the quickest way to manage bookings live without leaving the floor.
